Policy on Terminations & Remittances
At ZytePe, we prioritize clarity and trust in every digital transaction. As a leading Transactional Intelligence Platform, we have engineered this comprehensive guideline to govern all subscription terminations, transaction voids, and capital remittances, ensuring a secure and transparent environment for our entire merchant ecosystem.
Lexicon of Terms
To ensure total clarity, the foundational terms within this document are defined as follows:
- Payment Aggregator (PA): The underlying technology bridging secure financial communication between a buyer and a seller.
- Digital Marketplace: The overarching ZytePe platform where digital commerce and capital exchange actively occur.
- Consumer: The individual or entity originating a payment for goods, services, or software.
- Business Partner: A verified merchant utilizing the ZytePe architecture to accept and process inbound funds.
- Capital Reversal (Refund): The authorized, systematic return of settled funds back to the Consumerβs original instrument.
- Transaction Void (Cancellation): The deliberate halting of an active payment intent prior to final ledger settlement.
Termination Guidelines
1. Consumer-Driven Voids
A Consumer may request to halt a transaction within exactly 24 hours of the initial authorization, provided the associated Business Partner has not yet fulfilled, rendered, or shipped the order. All such requests must be logged through our primary support channels accompanied by a valid transaction ID.
2. Merchant-Driven Voids
Business Partners maintain full authority to void transactions internally due to inventory shortages, logistical constraints, or service unavailability. In these scenarios, the Consumer will be notified immediately, triggering an automated capital reversal to their account.
3. System-Driven Security Halts
The zytePe risk engine autonomously monitors network traffic. We reserve the unequivocal right to instantly void any transaction flagged for suspicious anomalies, compliance breaches, or severe routing inconsistencies to protect network integrity.
4. Account Offboarding & Deactivation
- Service Resignation: Business Partners wishing to terminate their zytePe infrastructure access must submit a written notice to our Client Success team exactly 35 days prior to their intended exit date.
- Cycle Completion: Platform access will remain fully functional until the conclusion of the billing cycle in which the 35-day notice period matures.
- Ledger Settlement: Final deactivation is entirely contingent upon the clearing of all outstanding network fees, unresolved chargebacks, and platform invoices.
Remittance & Reversal Framework
1. Platform Subscription Fees
We provide a prorated refund for enterprise platform fees if the termination request is submitted within the first 20 days of account activation. Following this initial period, subscription charges become non-refundable, though subsequent billing cycles can be suspended indefinitely.
2. Network Processing Fees
Capital routing fees (MDR) consumed during a successful transaction are definitively non-refundable. These operational costs are immediately dispersed to our acquiring banking partners the moment a transaction is authorized.
3. The Reversal Cycle
- Execution Timeline: Once a capital reversal is cryptographically approved, the funds are routed directly back to the Consumer's originating account.
- Bank Processing: Depending on the acquiring bank's clearing velocity, this credit will reflect in the Consumer's statement within 5 to 7 business days.
- Eligibility Matrix: Reversals are evaluated strictly on the basis of verified non-delivery of services, critical product defects, or factual misrepresentation.
Mediation & Conflict Resolution
ZytePe operates a dedicated mediation desk to resolve friction between Consumers and Business Partners. All formal disputes regarding service delivery or reversal eligibility will be investigated and addressed impartially within 10 business days of official receipt.
