A payment is successful. Is your work finished?

Why payment confirmation, settlement and reconciliation answer different questions—and how to keep them connected.

THE KEY IDEA

A successful payment is one event. A complete business record connects it to the order, any refund and the relevant settlement evidence.

Start with three separate questions

Did the customer pay? Has the expected money reached the relevant account? Does your accounting record explain the amount? These questions belong to payment status, settlement and reconciliation respectively. Treating them as one status makes it difficult to investigate a missing amount or an unexpected deduction. A payment dashboard should help you locate evidence rather than replace the underlying records.

Build a useful reference chain

For each order, retain your internal order ID, the provider payment ID, the amount and currency, and the time of each status update. Where available, attach the bank or settlement reference. A refund needs its own identifier and a link to the original payment. Keep the original records when a status changes, so finance and support can follow the sequence instead of relying on a screenshot.

Reconcile the differences, not just the totals

Suppose an illustrative daily collection total is ₹10,000 and a bank credit is ₹9,800. Do not assume the ₹200 difference is a fee. Inspect the relevant transaction report, applicable fees, refund records and settlement period. An aggregate total may combine transactions from a different reporting window. Record the reason for each difference and assign unresolved items to an owner.

Make the daily review repeatable

Agree on a reporting cut-off and use it consistently. Start with unmatched transactions, then inspect pending payments and refund exceptions. Document who checks each queue and when an unresolved record should be escalated. This process is useful even when volumes are modest: a small, well-maintained exception list is easier to investigate than a month of unexplained differences.
